Summary Explanation/Background:

The Camino / Clariti Software contract is currently set to expire on December 20th, 2024. The contract was initially approved on December 16, 2020, and has been renewed three times. Now we intend to enter into a multiyear contract to secure a reduced rate and legitimize our commitment to use this software service. The City’s Contract Specialist prepared the attached software agreement in coordination with the City Attorney’s Office. The contract incorporates the original scope from the prior agreement, as well as the various amendments. The contract cost is $42,000 annually from the Development Services budget for Software Purchases. The term of the Agreement is for three years.

Background:
The Camino Software provides Development Services with an electronic routing system for all Zoning Applications, Business Tax Receipts, Contractor Registrations, and Special Events. Since implementing this software we have been able to receive and review all our applications without requiring physical copies, allowing applicants to submit entirely online as well as pay online (in-person and paper copies are still available).  As an aside, during the pandemic, electronic routing was an essential step in the process in order to allow applicants to submit and staff to review the applications remotely. 

Zoning Use Certificates are reviewed and commented on by Fire, Building, Zoning, and the CRA (when applicable). The former process of scanning in paper forms, and emailing them to various departments demanded a lot of staff time to process and keep track of the application.  Now that the automated process is implemented, the Camino software has proven much easier for staff to keep track of the applications, and much more efficient for the BTR Division to maintain the files (which were previously scanned, printed, stored & then re-scanned).
