Summary Explanation/Background:

The Development Services Department, with the coordination of other City departments, is seeking an Ordinance of the City Commission to enter into a Master Subscription and Service Agreement with eCivis, Inc. (Agreement No. 10681).  This Agreement is the result of renegotiations and renewal of the City’s previous Agreement with eCivis approved by Commission in Resolution No. 2014-304 and was amended in Resolution 2016-149.

 

The Agreement provides for the following grant software functions and elements:

1. Tracks all grant activity, research and management at an organizational, departmental and project level

2. Automatic reminders and alerts to ensure compliance with grant requirements

3. Centralized access to information to assist with internal audits and single-audit preparation

4. Migration of all City grant information into one source

 

As outlined in the amended Agreement, the City will continue to have five licensed users. The renewed Agreement will remain valid through the contract subscription period of 10/8/2019 at which time it can be re-negotiated. The three-year subscription rate is $13,014 per year.

 

Origin of request for this action: Development Services

Fiscal impact and source of funding: The three-year subscription rate is $13,014 per year or $39,042 from the previously budgetted Development Services Other Professional Account.
