summary
Summary Explanation/Background:
The Utilities Department seeks City Commission approval of three service agreements resulting from RFP 25-010 - As-Needed Repair and Maintenance of Electrical Switchgears to ensure the continued safe and reliable operation of the City's electrical infrastructure supporting water and reuse treatment plants, raw water wellfields, pumping stations, and other critical facilities.

The RFP was advertised on January 13, 2025, and closed on February 4, 2025, with ten proposals received and evaluated based on qualifications and experience, cost, and local business participation. Although the top three firms were initially selected, one proposer was later disqualified due to non-disclosure of a corporate sale, resulting in the fourth-ranked firm being elevated.

Staff recommends awarding three-year service agreements, with two one-year renewal options, to Miller Electric Company, Electric Power Switchgear, Inc., and Mills Electric Service, Inc.

Each agreement authorizes expenditures of up to $150,000 per year on an as-needed basis, not to exceed $450,000 over the contract term, with funding available in the Utilities Department's operating and capital budgets.

Origin of request for this action: Utilities
Fiscal impact and source of funding: Funding will be taken from CIP accounts 420-7264-533.65-12, 420-7265-533.65-12 and operating accounts 412-3320-533.46-40, 412-3340-533.46-40
